Help

How the HeliosOps app works, screen by screen. If something here doesn't match what you see, or you're stuck, email us and a person will reply.

Support: admin@standardplinth.com. For anything about your roster, pay or leave, your employer's office is the right first call; they can see and change what you see.

Signing in

Your employer creates your account and tells you the email address on it. Sign in with that email and your password. Forgotten it? Tap Forgot password, enter your email, and a six-digit reset code is emailed to you; enter the code and a new password on the next screen. On the website, use Forgot your password? under the sign-in form instead. Not sure which email is on your account, or it has changed? Whoever manages staff at your workplace can see it on your profile and change it.

Server settings on the sign-in screen is only for employers running their own copy of HeliosOps. Leave it alone unless your office has told you otherwise.

Under Profile → Security you can turn on Face ID or fingerprint lock so the app asks before it opens.

Dashboard: your shift

The Dashboard is your timesheet. Start Shift when you begin work for the day, Start Break and End Break around breaks, and End Shift when you finish. Each of these records the time and, if you've allowed it, your location at that moment. Break time is taken off your worked hours automatically.

If you forget to end your shift, the app reminds you shortly after your rostered finish. A shift left open is not paid as open-ended: the office closes it, or you can tell them the real finish time from the Roster tab (see below).

Roster

Upcoming shows the next two weeks, day by day, with a strip of the coming week at the top; tap a day to jump to it. Each shift card shows the time, the type of work, the client and the address. Tap the address for directions in your maps app. Tap the card to open the job.

  • Needs reply. If your employer asks staff to confirm shifts, new shifts show Accept and Decline. Declining lets your coordinator know straight away.
  • Clock on / Clock off appears on the day of the shift. Use it when you arrive at and leave a job. This is separate from your shift on the Dashboard: the shift is your pay; clocking on to jobs records where the time went.
  • Available to pick up. Open shifts your employer has offered out. First to accept gets it and it's added to your roster.

Past shows what you worked, newest first, with Show earlier to go further back. If a past day was never clocked out, the card lets you enter the finish time and a reason; the office reviews it before it reaches your pay.

Jobs

A job page shows what you're there to do, the client, the address, and any tasks or checklist. From here you can clock on and off, add a note about what happened on site, take before-and-after photos, and add an expense with a photo of the receipt. Some job types require photos or a note before the job can be closed; the app tells you what's missing.

Kilometres

If your employer pays kilometres, the app asks for them either at the end of your shift or after each job, depending on how your employer has set it up. A suggested figure, worked out from the distance between your clock-on points and the job addresses, may be filled in already; check it and change it if it's wrong. Add a note if you took a detour. Your office approves kilometres before they're paid, and the Time Sheets screen shows whether each day's figure is still waiting or approved.

Timesheets

Open from the Dashboard or Profile. Your recorded time is grouped Monday to Sunday. Each week shows its worked total and, when you open it, each day's clock in, clock out, breaks and kilometres. This is what your employer pays from, so check it against your payslip. Load earlier weeks goes back further. Usual week shows your standard hours if your employer has set them.

Messages

Message the office or colleagues directly, or in groups your employer sets up. Broadcasts from the office appear at the top of the Dashboard until you've read them. You'll get a notification for new messages if you've allowed notifications for the app.

Documents and leave

Profile → Documents holds company policies and procedures. If a document must be read, it shows as requiring acknowledgement; open it, read it, then acknowledge it. Private HR documents your employer has released to you appear under HR documents. Where your employer has turned it on, leave requests and unavailability are also under Profile.

Working offline

Clock in, clock out, breaks and job clock on and off all work without a connection: the app saves the action with the time it happened and sends it when you're back online. You'll see “Saved offline” when that happens. Photos and messages need a connection.

Location: what's recorded and when

The app records your location only at the moment of a clock action, using the “while using the app” permission. It never runs in the background. If you decline the permission, clock actions still work; they just won't carry a location, and your employer may ask about it.

Troubleshooting

  • “Cannot reach the server.” Check your connection. If it persists, sign out and back in; if Server settings has been changed, your office can tell you the correct address.
  • No location on a clock event. In your phone's Settings, allow Location for HeliosOps “While Using the App”. Indoors, the first fix can take a few seconds; the app waits up to ten.
  • Not getting notifications. Allow notifications for HeliosOps in your phone's Settings, then open the app once so it can register.
  • A shift, job or document is missing. The app shows what your employer has assigned to you. Ask your office.

Your account and your data

Your account is managed by your employer. To close it, or to ask what personal information is held about you, ask your employer or email admin@standardplinth.com. The Privacy Policy explains exactly what the app collects and why, and the Terms and Conditions cover use of the service.
